Managing reports
A report isn’t a one-off. You run it, run it again next month, and watch what moved. This page covers the report list — where every audit lives — and the actions you take from each report’s menu.
The report list

Every report your organization has run shows up here, newest first, each with a status badge. Three tools keep the list manageable:
- Owner filters — the pills at the top narrow the list to All, Private (only yours), or Shared (visible to the org). Admins see all three; the set you see depends on your role.
- Search — filter by brand name or domain.
- Sort — order by date or name.
Reruns of the same audit group together as versions of one report, so the list stays one row per audit rather than one row per run. While a new version is building, the report shows a spinning Rerunning badge. Select the badge or View rerun progress from the report menu to follow the active run.
Rerunning an audit
The answer engine’s view of you shifts as content gets published and pages change. Rerunning the same audit later is how you see whether your work moved anything. From a completed report’s menu, open Rerun settings to run it again and to control how it repeats.

Each rerun is filed as the next version of the report, ready to compare with an earlier run or follow as a trend. The panel shows the report, its last run date, and the credits needed for the next run. If you don’t want to wait for the next scheduled run, Rerun now starts one immediately when it’s available.
Recurring reports
Rather than remembering to rerun by hand, turn on Automatic schedule in the same panel. Choose the interval — days, weeks, or months — and Palmata rebuilds the audit on that cadence, with each run filed as the next version. Turn the schedule off to stop it. A recurring run spends credits like any other build.
Comparing and trending runs
Open the date in the report header and select the runs you want to study. Select two for a direct comparison or at least three to plot Trends across Brand Perception, Topics & Prompts, and Sources. See Comparing versions and trends for the complete workflow.
Sharing and archiving
The same report menu lets owners and admins Share with org (or Make private again). Creators can also change sharing for their own reports. Sharing applies to every version of the report. Use Archive for a report you’re done with. Sharing controls who in your organization can open it; archiving tidies the list without deleting the run.
Losing access
If a report is made private or you’re removed from its organization, you lose access to it. Opening a report you can no longer see shows an access screen rather than the report — it isn’t an error, just a sign your access changed.
Exporting slides
If PDF export is enabled for your organization, open a completed report and select Export as Slides in the side navigation to download a 16:9 PDF deck. Export is available when viewing a single report version.
The title slide includes the number of tracked LLMs alongside the topic, prompt, and action counts. Immediately after it, the analysis scope shows the steering instructions, tracked LLMs, and search locale and prompt language when recorded. Long steering and long lists are shortened with ellipses; open the report in Palmata for the full steering instructions. Insights reflect the prompts generated within that scope; they represent a sample of the subject covered by the report.
Tracked LLMs use answer-engine names (ChatGPT, Gemini, and Claude). Each topic stays on one slide with its strongest and weakest prompts; dense topic content is scaled to fit without removing text.
